Build your AI onboarding packet

Your AI is a brilliant new hire with amnesia. This prompt gives it the onboarding packet: three short files about you, your business, and how you sound. It does the research. You just check its work.

What you'll get

  • About me: your story, in your words
  • About my business: what you sell, who you serve, what customers say
  • How I sound: your voice, so it writes like you

Before you start

About 10 minutes

  1. Record a 2โ€“3 minute voice memo: how you got started, what you do, who you love working with, what you care about. Use your phone's transcription, or just dictate into the chat.
  2. Copy and paste 2โ€“3 things you've written: emails, posts, a newsletter. Paste the text itself; AI usually can't open social media links. The voice file is only as good as what you paste.
  3. Turn on web search, paste the prompt below into Claude or ChatGPT, and fill in the brackets.
  4. Save the three files in a Claude or ChatGPT Project so every chat reads them.

The prompt

Copy it, paste it, fill in the brackets

You're a business analyst and brand writer. Build my "AI onboarding packet": three one-page documents I'll give any AI so it understands me and my business without me re-explaining every time.

My business: [BUSINESS NAME]
My website: [WEBSITE URL]
My town: [CITY, STATE]

MY BRAIN DUMP (voice memo transcript):
[PASTE TRANSCRIPT]

MY WRITING (pasted text: emails, posts, newsletters):
[PASTE]

MY REVIEWS (optional backup, if you have some handy):
[PASTE]

Create these three documents:

1. About My Business: research this yourself. Search the web for my business, then read my website and any other public pages you can open, like directory listings or news articles. Use my town to make sure you have the right business. For reviews, Google's own pages usually can't be opened, so look for my Google reviews on sites that republish them (review aggregators, or my own website) and check listings like Tripadvisor or Yelp. Include what we sell, public prices, who we serve, service area, hours, what makes us different, the questions customers ask most (with answers), and what customers praise or complain about.

2. About Me: build this from my brain dump. Organize it into my background, why I started, what I do day to day, who I love working with, and what I care about. Keep my own words where they're strong, and don't add facts I didn't say.

3. Voice Profile: build this from how I actually talk and write. Weigh my brain dump and my pasted writing above my website copy, since website copy is often written by someone else. Write it as instructions another AI can follow to sound like me, covering:
- Tone and formality
- Sentence length and rhythm
- Words and phrases I actually use
- A "never does" list: words, habits, and styles I avoid (for example, corporate filler or exclamation points)
- Three example sentences in my voice
Back every pattern with a short quote from my material. If a pattern shows up more than once, call it a rule; if only once, call it a tendency. Don't describe a voice my material doesn't show.

Guidelines:
- Don't ask me questions. Make your best call and keep going, because I want finished drafts, not an interview.
- Keep each document to about one page of plain bullet points, so it's quick to review and update.
- Mark anything you inferred rather than found with [CHECK], so I know what to verify.
- When sources disagree (hours, prices), list both and mark [CHECK].
- Note the year of any source more than two years old, so I can spot stale details.
- If something truly can't be found, leave a short blank like [ADD: service area] instead of inventing it.
- At the end of About My Business, list the pages you actually read and any you tried but couldn't open, so I can confirm you found the right business.

Deliver each document separately so I can save them as three files.
